Privacy Notice

Who we are

SpecBase (specbase.co.za) is operated by Datum Line (Pty) Ltd, registration number 2025/745058/07, South Africa. For any privacy question or request, email support@specbase.co.za.

What we collect

• Your account: your name, email address and password. You sign in with your email address and password. Your password is stored only in hashed form; we never see it in plain text.
• Your profile, if you add it: your company or organisation and your profession.
• What you do in your account: the products you save, the Boards and Projects you create, the files you download, and the records SpecBase needs to make these features work.
• Requests you send: sample requests, quote requests, orders, feedback and messages to manufacturers, including the details you enter.
• Security and service records: sign-in events, request logs and error records that keep SpecBase secure and working.

We do not collect your Revit models, their geometry, your project files or file names. Usage analytics for the SpecBase plugin for Revit are not switched on.

Why we use it

• To provide the service you asked for: to run your account, give you Boards, Projects and downloads, and send your requests to the manufacturer you choose.
• To keep SpecBase secure and working: to prevent fraud and misuse, provide support and administer the service.
• To keep records we must keep by law: for example, records of accepted quotes and orders.
• Marketing: only if you separately agree. Creating an account does not sign you up for marketing, and we do not currently send marketing messages.

Who receives it

• Manufacturers, only when you choose. A manufacturer receives your information only when you deliberately start an action aimed at them, such as a sample request, quote request, order or message. They receive only what they need to respond: your name, relevant contact details, your organisation where relevant, and the details of your request, order or project.
• Manufacturers never receive your browsing, your Boards, your saved products, or your email address merely because you viewed or saved their products. Any figures we share with manufacturers are totals that do not identify you.
• Other users do not see your activity. Your personal profile is private unless you choose to publish it in your account settings.
• Our service providers process information for us: Supabase (database, sign-in and file storage), Vercel (website hosting) and Resend (delivery of account emails).
• Authorities, where the law requires it.

We do not sell your personal information.

Where it is stored

Your information is stored and processed outside South Africa, in Ireland (European Union), by Supabase on Amazon Web Services and by Vercel. Requests to the website may first pass through Vercel's global network. Account emails are sent through Resend. These providers are United States companies, and their terms allow them and their sub-processors to process data in other countries, including the United States, where needed to run their services.

How long we keep it

• Your account and profile: while your account is open.
• If you delete your account: we delete your account, your profile and the ordinary usage records that identify you, and remove or anonymise other information we no longer need. Copies in our database backups expire automatically on the backup cycle, currently about one week.
• Records we must keep by law, such as accepted quotes and orders: only for as long as the law requires.
• Security logs: kept by our hosting provider for a short period.

To delete your account, email support@specbase.co.za.

Cookies

SpecBase uses a sign-in cookie to keep you signed in. It is necessary for the service to work. We do not use advertising cookies or third-party analytics cookies.

Security

We protect your information with access controls, encryption in transit and server-side authorisation. No online service can guarantee absolute security. If a security compromise affects your information, we will notify you and the Information Regulator as the law requires.

Your rights

You can ask us to confirm what information we hold about you, to give you access to it, or to correct or delete it. You can also object to how we use it, and withdraw any marketing permission at any time. Email support@specbase.co.za; we may need to verify your identity first.

You can also complain to the Information Regulator (South Africa): inforegulator.org.za.

Changes

When what we collect or how we use it changes, we will update this notice and the date above.
